Info on Who does What!

Decorations:

Responsible for picking the theme (senior class council is part of this decision making).  Makes decorations, sets them up, and takes them down.  Works with the PR person to coordinate the theme in publicity to students, parents and community.

Entertainment:

Responsible to research the companies for entertainment and games for the night of the party.  The Chairperson must coordinate with Creek and Facilities chairperson for the setup and tear down times for games and entertainment.  Responsible for verifying that the games are completely set up, operational, and that the layout is correct.  (This includes all electronic needs are met by the school campus and the entertainment company).  This person coordinates that all games are picked up at the end of the party and that the Project Graduation and CCHS are not responsible for any games left after the party ends.  Make sure there is a provision in the contract that if a game is not working or stops working during the night of the party that Project Graduation will be compensated.  Look at the contract carefully.

Facilities/Security:

Obtains the contract for the Creek 9th Grade Facility (if chosen for the event) for the night of the party.  Contract details must include: start time, end time, setup and take-down time, custodians, security officers, and pay rate for CCISD employees, Sheriff names & their shifts.  Review past contracts.

Food:

Responsible for determining the menu and serving times during the party.  Works with local vendors/parents for food donations OR working with a caterer for food for the party.  (in the past Coca Cola donated drinks for the party).  Works during the party to keep food flowing.  This committee is responsible for clearing out the kitchen at the end of the party.

Prizes:

Responsible for shopping for all the prizes for the party.  (In the past Project Graduation team also solicited donations from the community).  Responsible for the boxes at the party and the tickets.  They setup the system for the door prizes.  Also, how the prizes are drawn and given away.  (See previous notebooks).  Our rule is a Senior can win only one big prize.  These are separate from the raffle prizes.

Publicity (Public Relations)/Newsletter:

This chairperson communicates with the local newspapers, school newspaper, website person, and any other way to communicate with seniors, parents and the community about Project Graduation.  This person also helps with posters, flyers, etc.  The PR person could do the Newsletter.  This probably could be combined with Communications!

Communications:

Maintains an email contact list for all communication to seniors and parents.  Sends messages to Project Graduation parents as needed by officers and chairpersons.  This committee also maintains the Project Graduation website (http://cchsprojgrad.com)

Volunteers:

Prepares Volunteers Form according to the events to track participation.  Collects names/phone numbers/email addresses from parents and distributes to each chairperson.  Helps fill requests for volunteers for senior events for the school.  Also organizes volunteers needed for the night of the party to work at various stations (games, food, check in, bag check, tickets, tables, etc. -- see previous committee notebooks for more details).  If needed, can also assist in organizing the money for the casino and games, or anywhere else the different committees may need help.

Fundraising:

Oversees all of the fundraising events and activities.  (See previous chairperson and treasurer notebooks for complete details).

Cookbooks:

If the Project Graduation committee elects to sell cookbooks, this chairperson collects recipes, puts them in order according to the cookbook company guidelines, and submits the order to the company.  Fills order requests by students and parents.  Responsible for the procedure and communication to sell the cookbooks.  Keeps a list of cookbooks checked out, and sold.  Responsible for devising the plan to sell the cookbooks.  Gets volunteers to work events to sell cookbooks.

Raffle:

Coordinates the raffle ticket printing, communication, sales, check out and in of tickets, etc.  (see previous notebooks for more information).

Golf Tournament:

Plans and implements all aspects of hosting a golf tournament fundraiser.  The players are the key to making money for this event.  (In the past, the meal after the tournament was donated).

Holiday in the Park:

This chairperson needs to go to http://www.holidayinthepark.org/index.html and download the form for booth rental (the booth is donated free to Project Graduation by Janice Hallisey, Holiday in the Park Board Member).  Volunteers are needed to help Janice with the parade (traffic, float setup, etc.). 

Corporate Donations:

Prepares a mailout to the community to solicit donations.  Follows up on these letters.  (See previous notebooks for more information).

Friday Lunches:

Works with the school on the start and end date of selling lunches.  Plans and prepares food to be sold including the shopping at Sam's for drinks, chips, candy, etc.  (Check the previous notebooks to see what was received by donations).

Village Fair:

Coordinates with the Village Fair Committee to see how we can help.  In the past we have collected tickets at the gate and received 50% of the ticket sales.  In 2009 we were given a booth and asked to sell water, soda and candy.
